1Who is responsible

ZÉLIE is run by Adela full legal name, contact address. She is the data controller. You can write to her at adela@zeliewomen.com.

2What we collect, why, and our legal basis

Your application (name, email, business details, answers): to read it and reply to you. We rely on steps taken at your request before a conversation, and on your consent to store your details.

Access needs or health information you choose to give: to make the conversation possible. We rely on your explicit consent. We delete it after the conversation, or after 12 months if you are not selected.

Your consent form and agreements: to show what you agreed to. This is our legitimate interest in being able to show consent.

Recording, transcript, notes and photographs: to make, check and publish your feature. We rely on your consent.

Your published feature, quotes, clips and posts: to publish your conversation. We rely on your consent.

Questions sent through the Library and ideas sent through the Community page: to shape conversations and the community. We rely on your consent. We keep your email only if you ticked the box.

A note of your name and the date, if you withdraw: so that your material is not republished by mistake. This is our legitimate interest.

3Who sees it

Adela, and a photographer or another person who helps produce your feature, who receive only what they need.

AI tools. With your consent, we use Otter.ai (transcription), Claude by Anthropic and ChatGPT by OpenAI (organising transcripts), and other transcription services that we will name here before we use them. They process your recording or transcript for us. We use settings that stop them from training their models on your content. A person reads and decides everything. If you say no, we do not use them.

Our forms and email. Application forms travel from this site through Cloudflare to Adela’s email inbox, which is provided by Google (Gmail). Update if the inbox changes.

Storage. Recordings, transcripts and signed forms are kept in storage provider, in the EU, protected by two-factor authentication.

We do not sell your information and do not share it for advertising. We do not publish your email address, contact details or application answers.

4Outside Europe

Some of the tools above process data in the United States. We choose providers with safeguards in place, such as certification under the EU–US Data Privacy Framework or standard contractual clauses. State which applies to each provider.

5How long we keep it

  • Application, if you are not selected: 12 months, or 24 months if you asked us to keep your details for future conversations.
  • Application, if you are selected: as long as we hold your material.
  • Recording, transcript, notes and unpublished photographs: the time you choose, 1, 3, 5 or 10 years (1 year by default), then deleted.
  • Published feature, clips and posts: until you ask us to take them down.
  • Consent form: as long as we hold your material plus any further period to confirm.
  • Access needs: deleted after the conversation, or after 12 months if you are not selected.
  • A note that you withdrew: kept, with only your name and the date.

6Your rights

You can ask to see what we hold about you, correct it, delete it, limit how we use it, receive a copy to move elsewhere, or object to it. You can withdraw your consent at any time, and that does not affect what was lawful before. Write to adela@zeliewomen.com. We reply within one month at the latest and aim for five working days. We confirm deletion in writing within five working days.

7If you are unhappy

Write to us first. You can also complain to the Belgian Data Protection Authority (Autorité de protection des données / Gegevensbeschermingsautoriteit), Rue de la Presse 35, 1000 Brussels, or to the authority in your own country. Check the authority’s current contact details before launch.
